The IAPA Member Best Rate Guarantee

IAPA Members can feel confident that they always receive the best available online rate for that room type when booking at hotels participating in the IAPA Best Rate Guarantee program. If you find a lower published rate (terms and conditions apply – see below) within 24 hours of making a reservation at www.iapa.com, you can make a claim and we will refund you the difference.

Terms and Conditions

  1. To qualify, the initial reservation must be made online through our website www.iapa.com
  2. The IAPA Best Rate Guarantee only applies to participating hotels from participating chains in the Best Rate Guarantee program on www.iapa.com and is available only to IAPA Members who hold a valid IAPA Membership. A hotel that participates in the IAPA Best Rate Guarantee program is identified by a note on the rates page for that hotel.
  3. If you find a lower, published, available room rate for the same hotel; for the same room type; for the same bed type; for the same dates and for the same number of guests (the "Comparison Rate") within 24 hours of making your reservation on www.iapa.com and advise IAPA of this within the same time frame by sending us an email (see the foot of this page for the email address), then, subject to verification of the lower rate, IAPA will refund the difference upon completion of your stay.
  4. The following rates are excluded from the IAPA Best Rate Guarantee:
    • Rates that are not publicly available, such as (but not limited to) corporate, negotiated corporate or group rates
    • Discount rates offered only to members of groups or individuals who meet previously-specified criteria, including AAA members, seniors, government employees, or hotel frequent guest program members
    • Package rates that include the room and other components such as travel, car rental, entertainment, and/or non-breakfast meals
    • Package or group add-on rates that extend the length of a stay
    • Rates for stays extending beyond 7 nights
    • Rates that are available on auction websites
    • Rates available on “opaque” websites, such as Priceline and Hotwire, that do not disclose the hotel brand until the reservation is completed
    • Pre-paid rates that involve a voucher or other form of pre-paid certificate (including electronic vouchers and certificates)
    • Rates that cannot be booked online
  5. The IAPA rate and the “Comparison Rate” must be found, and an email sent to IAPA, within 24 hours and must be for the same hotel, room type, bed type, number of guests and reservation dates. The same cancellation and advance purchase policies and other terms and conditions governing the rates must apply.
  6. IAPA will verify the Comparison Rate within 24 hours of receiving your claim and notify you of the results. Because the claim must be processed before check-in, you must submit your claim at least 72 hours prior to check-in.
  7. When multiple rates for the same hotel, reservation dates, and room type are available through www.iapa.com you must have reserved the lowest rate to be eligible for the guarantee.
  8. The Comparison Rate must be able to be reserved by the general public and be verifiable by IAPA. If the Comparison Rate is offered through an IAPA channel, you must reserve the rate through IAPA to qualify for the guarantee.
  9. IAPA is not responsible for any fees or other costs incurred due to the cancellation of a reservation at either the Comparison Rate or IAPA Rate.
  10. Rate comparison will be made net of any taxes, gratuities, or any other fees associated with the room rate, and the Comparison Rate must still be available at the time IAPA validates the claim. Rate disparities solely attributable to fluctuations and/or differences in currency exchange rates are excluded from the guarantee.
  11. When a claim form covers multiple nights, the rates will be compared for each night separately.
  12. Void where prohibited by law. IAPA reserves the right to modify or cancel the guarantee at any time without prior notice.

How to Claim
If you have a valid claim under the foregoing terms and conditions of our Best Rate Guarantee, then please email us at bestrateclaim@iapa.com, stating clearly the following details (failure to do so could lead to a delay in processing your claim):

  • Your name and membership number
  • The relevant booking reference with IAPA and the date you made your reservation
  • The full web address of the internet site offering the lower rate that you are claiming against
  • Details of the Comparison Rate including Room Type & Rate (including Currency)
To help us validate your claim you may also include a screen shot of the web page where the Comparison Rate was found and any other details you think will assist us in processing your claim.
